1. Who we are

River Consulting Group Ltd, trading as The AI Mentor, is the data controller for personal data collected through this website and our courses. Our registered office is 1st Floor Offices, Stocklund House, East Street, Chichester, PO19 1JE. You can contact us at jameslawson@riverconsultancygroup.co.uk.

2. Personal data we collect

  • Identity and contact: name, email address, phone number, business name.
  • Booking details: the course, cohort and session dates you book.
  • Enquiry content: messages you send us through the chat widget, contact forms or email.
  • Payment metadata: order confirmation and receipt information (payment card details are handled by Paddle, not by us).
  • Attendance data: whether you joined a live session, and any recordings of online cohorts.
  • Technical data: IP address, device and browser type, pages visited.

3. How we use your data and legal basis

  • To provide the course you booked (contract performance).
  • To send booking confirmations, joining links and course updates (contract performance).
  • To respond to enquiries submitted via chat, contact forms or email (legitimate interests).
  • To improve our courses and website using aggregate usage data (legitimate interests).
  • To meet legal, tax and accounting obligations (legal obligation).
  • To send occasional marketing only where you have opted in (consent).

4. Who we share your data with

  • Paddle — our Merchant of Record for payments, subscription management, tax compliance and invoicing.
  • Zoom Video Communications — hosting our online cohort sessions and recordings.
  • Hosting and infrastructure providers — Lovable Cloud (site hosting and database) used to store bookings and enquiries.
  • AI providers — messages you send via the on-site chat widget are processed by our AI provider (Google) solely to generate a response.
  • Professional advisers such as our accountants, and public authorities where required by law.

5. International transfers

Some of our providers process data outside the UK/EEA. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the ICO's International Data Transfer Addendum together with the EU Standard Contractual Clauses.

6. Data retention

We keep booking and payment records for as long as required for tax and accounting purposes (typically 6 years). Enquiry messages are kept for up to 2 years. Marketing preferences are kept until you withdraw consent. Personal data no longer needed is deleted or anonymised.

7. Your rights under UK GDPR

You have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate data or complete incomplete data;
  • ask us to erase your data where there is no good reason for us to keep it;
  • ask us to restrict or object to certain processing;
  • ask us to port your data to another provider;
  • withdraw consent at any time where we rely on consent;
  • complain to the UK Information Commissioner's Office (ico.org.uk).

8. Security

We use appropriate technical and organisational measures including encryption in transit, access controls, and reputable hosting providers to protect your personal data.

9. Cookies

We use a small number of essential cookies required for the website and booking flow to function. We do not use advertising cookies. If we introduce analytics or marketing cookies in future, we will show a cookie banner allowing you to manage your preferences.

We may update this Privacy Notice from time to time. The current version is always available on this page.
